Job DescriptionThe Senior Administrative Assistant provides administrative support to the EVP, Chief Actuary and the Actuarial organization. The position deals with sensitive information and frequently changing calendars, travel arrangements, meetings and business schedules.Key Job Responsibilitiess:
General Administration:
Conduct research to prepare, gather and proof materials, agenda and Powerpoint decks for executive level meetings
Attend and administer routine staff meetings, tracking key milestones and coordinating schedules
Develop and maintain an alert system for upcoming deadlines on incoming requests and events
Manage travel arrangements and coordinate pre-planning of trips and conference registrations.
Create and process travel expenses and reimbursements including review of expense reports for accuracy and proper disclosure
Assess urgency and prioritize before accepting or declining appointments and meetings with Executives and properly screen incoming vendor calls
Distribute company-wide announcements, book conference rooms and coordinate functional events
Assist with administrative functions and hoteling offices for Chicago Actuarial leaders when they are traveling to Carmel and Carmel leaders when they are traveling to Chicago.
Ensure consultant contracts, statements of work, and insurance licenses are up-to-date
Assist with team building initiatives and overall support for maintenance of organizational culture and employee morale
Create filing systems and ensure proper office supplies are available
Manage budget process for Actuarial
a.Run reports to assist managers with preparing their budgets
b.Handle distribution of Staffing Models and seeing that all are submitted on time
c.Key budget information into system
d.Prepare spreadsheets showing cost center comparisons
e.Prepare slides for FP&A; budget review presentation
Process Written Consents and Jurats when signatures are needed.
Maintain Actuarial SharePoint sites
Analyze monthly department budgets and headcount data and updating of organizational charts
Coordinate workspace availability and setup for new hires and interns
Interact with all levels at company and local community affiliations.
Successfully implement new administrative technologies and process automations to encourage continuous improvement
Frequently use word processing, spreadsheets, PowerPoint presentations, data base and presentation software
Performs administrative functions in support of the Actuarial Development Program
Assists in organizing certain actuarial presentations and submission of regulatory filings
Coordinate documentation of the annual Loss Recognition Testing and Cash Flow Testing processes including the publication of statutory Actuarial Opinion Memorandums.
Coordinate Washington National Product Committee meetings and maintain documentation of minutes
Update and maintain distribution lists for the Actuarial organization
Use the Oracle Procure to Pay for accounts payable and purchase requisitions
Create service desk tickets for computer issues and facilities issues
Other projects as assigned.
Requirements:
- High School degree; Bachelors degree preferred
- Sophisticated user of MS Office & Outlook, especially Powerpoint
- Critical Thinker, Schedule Management, Team Player

The check will bounce and the victim is left responsible.
